We are seeking a proactive and highly organised Executive and Marketing Coordinator to support two directors, contribute to marketing efforts, and assist with the organisation of events, conferences, and webinars for MySecurity Media and Space and Earth Partners and Advisory, which operate under the same company.

Role overview
As the Executive and Marketing Coordinator, you will:
- Provide high-level administrative support to the two directors, ensuring their schedules, priorities, and communications are well-managed.
- Assist with the planning, coordination, and promotion of events, conferences, and webinars.
- Support the preparation and submission of proposals for new opportunities and projects.
- Execute marketing initiatives, including event promotion, social media management, and email campaigns.
- Contribute to content creation, copywriting, and basic graphic design for marketing materials.
- Maintain accurate records, manage correspondence, and ensure smooth day-to-day operations.
Key responsibilities
- Manage the directors’ calendars, travel arrangements, and communications.
- Assist with the planning and logistics of events, conferences, and webinars.
- Coordinate with stakeholders, vendors, and participants to ensure successful event execution.
- Support the development and submission of proposals, including research and drafting.
- Update and manage social media accounts, websites, and marketing platforms.
- Assist with the creation and scheduling of EDMs and marketing campaigns.
- Prepare reports, presentations, and meeting materials as needed.
- Provide general administrative support to the team.
About you
- Proven experience as an executive assistant, personal assistant, or in a similar administrative role.
- Experience or strong interest in marketing, with knowledge of digital marketing tools and platforms (e.g., Mailchimp, Canva, WordPress, social media).
- Strong organisational and time management skills with the ability to prioritise tasks effectively.
- Excellent written and verbal communication skills, including attention to detail.
- Experience or interest in event coordination and proposal writing.
- Proactive and adaptable, with the ability to work independently and collaboratively.
- Familiarity with the industries we serve is an advantage but not essential.

The role
We are looking for a competent Event Manager to oversee and organise events that will make an impact to a target audience. You’ll ensure events are successful and cost-effective, paying attention to budget and time constraints.
An event manager is, above all, a project manager who understands marketing and promotion techniques. We want to see enthusiastic candidates with fresh ideas and the organisational skills required to not leave anything about an event to chance.
You will be responsible for managing virtual and in-person events across in-house events run by our team and external events that MySecurity Media are media partners for.
Job responsibilities
- Plan event from start to finish according to requirements, target audience and objectives
- Come up with suggestions to enhance the event’s success
- Prepare budgets and ensure adherence
- Source and negotiate with vendors and suppliers
- Speaker and sponsor engagement and preparation.
- Coordinate all operations
- Lead promotional activities for the event
- Supervise all staff (event coordinators, caterers etc.)
- Approve all aspects before the day of the event
- Ensure event is completed smoothly and step up to resolve any problems that might occur
- Analyse the event’s success and prepare reports
- Manage group media partnerships.
Requirements
- Proven experience as event manager
- Skilled in project management
- Computer and digital proficiency; proficient in MS Office, SaaS and social media platforms – in particular Active Campaign
- Knowledge of KPIs and skilled in digital marketing techniques for event management
- Outstanding communication and negotiation ability
- Excellent organisational skills
- A knack for problem-solving
- Customer-service orientation
- A team player with leadership skills
- BSc/BA in PR, digital marketing, hospitality management or related field is preferred
